How Much Barware Do I Need For My Chigago Wedding?

Let us help you understand the in’s and out’s of barware rentals!

When thinking about barware there are a few things that you need to consider: how many people will be drinking, what will they be drinking, and how much will they be drinking. 

When you have a rough number of how many people will be drinking, you can use this formula to get a good estimate at how much barware you may need:

2 glasses per person for cocktail hour followed by 1 glass per person every hour after, minus beer drinkers while the bar is open.

This is a good calculation for understanding how many glasses you will need to order for your guest, though many clients will opt to prioritize glassware during cocktail hour only depending on their budget. This calculation is not an exact science, but it is one that we have used for many years and helps to avoid being short on glassware during your event. Through years of experience, we can help to ensure you are ordering what you need!

It is also important to know what your venue provides and allows. All venues are different on what they provide, so make sure to ask these things about the bar! Is there a bartender included? Are there glasses included? Are the glasses glass or plastic? All of this will help you make a decision on what you want or need to bring in. It is also common for venues to require all glass to be removed from the event room by 8 or 9 pm when the dancing gets started. This switch to plastic glasses is for the safety of you and your guests and avoids the chance of broken glass making its way onto the dancefloor and interrupting the party! 

There are various glasses that all hold different purposes, so let’s look at the differences!

  • Rock glasses are a short and wide tumbler that is usually used for spirits over ice or for popular cocktails such as Old Fashioneds, Negronis, Margaritas, or Whiskey sours.
  • Highball glasses are a taller and thinner version of the rock glass and are used primarily for long drinks. These drinks include any spirit and mixer (rum and coke, vodka cranberry, etc.), Mojitos, Palomas, Moscow Mules, and many more.
  • Wine Glasses are more self explanatory, and while there is a difference between red and white wine glasses, most rental companies will provide one universal glass.
  • Martini glasses are a stemmed glass with a sharp angled base to the cup and a wide mouth. As the name may have suggested, these are great for martini drinks or for other specialty cocktails!
  • Champagne Coupes and Flutes are both great options for sparkling drinks like Champagne, Rosé, or Moscato d’asti. A coupe glass is a shorter stemmed glass with a wide and rounded shallow cup while a flute is a tall and narrow stemmed glass. Both are beautiful for a Champagne toast!

Knowing which you need means knowing what your guests will be drinking. If you choose to have a signature cocktail, most guests will order at least one to try at the start of cocktail hour, so it is important to have plenty of the glass that corresponds to that drink. Following that comes with knowing the guests. Event bartenders will say that every wedding is very different, and what is popular at one event may be entirely different from the next, but if mixed drinks are available most people gravitate towards those, followed by wine and then beer.

A good tip is to pay attention early to what your guests enjoy while out to dinner or at other events!

Interviewing the owner of EK Cakery at Providence Vineyard for the photo session and blog.

I am not the face of Dish & Decor, but I am nearly all of the words. 
I should start at the beginning. (Please read to the end to find out my favs.) In September of 2021, I was throwing a party for 70 people in our barn. I had spent all spring and summer at thrift stores collecting dinner plates with a wheat pattern…all mismatched. I also ordered dark gray tablecloths and napkins online for big round tables and cocktail tables. My bright idea was that I would be able to sell these after the party. Big mistake for several reasons.  And my wheat patterned plates have yet to sell on several websites, so there’s that. They are stacked in my basement.  And do you happen to know HOW LONG it takes to iron the huge floor length tablecloths that are delivered with huge wrinkles? Took me an entire day. I considered sending these to a dry cleaner, but that price was astronomical. I should have rented the linens!

This brings me to my introduction to Janet and Dish & Decor. I still needed flatware and wine glasses. Who really needs 70 wine glasses? I googled flatware and glass rental near where I live, and Dish & Decor Vintage Rental popped up.  At that time, this was located in her home in Crystal Lake.  Perfect! I called and made an appointment to meet with her and her pretties. Her “design center” was in her basement surrounded by shelves upon shelves of rental items. Glasses of every color and shape. Plate collections to die for. This was heaven to me as I love these things. Her living room had no furniture as it was filled with crates ready to be delivered. She had quite a system going. I couldn’t believe what I was seeing. Janet readily helped me pick flatware and wine glasses. And I learned that she would deliver, pick up and wash everything. What a deal!  In hindsight, I should have rented plates and table linens as well. Would have saved me a lot of time and energy.  I have rented from Dish & Decor for every event I have hosted since. I’m no fool! 

So…as Janet and I chatted; we hit it off. Our love and passion for all of her beautiful rentals was evident. I had retired from teaching a few years prior, and I was in need of a part time job.  As it turned out, Janet was looking for a part time employee. That was my interview, and I started the next week. As time went on, Janet discovered that one of my strengths was writing.  Janet was in need of someone to work on her social media presence and eventually her blogs. I was no expert on social media, so it really has been trial and error. And I am still learning, but it takes a job off of Janet’s plate. I went from dishwasher to her wordsmith, as she likes to call me. 

The story continues.  Janet eventually moved her growing business out of her home to a building in Algonquin. We now work in an incredible space. So much has changed, and all for the better. Her Design Center is stunning. The inventory is vast. Her warehouse is organized and packed ready to deliver. Her commercial washing station is state of the art. She now has a team of full time and part time employees. I have truly enjoyed this part time gig, and Janet is amazing at what she does.

Morals of my story…
***Rent do not buy! This business is a wonderful example of eco-friendly re-use. You will be surprised at how economical it really is when you consider she will deliver, pick up AND WASH! Her inventory is AH-MAZING! Janet has rentals for the smallest of dinner parties to huge extravagant weddings. 

***Last but not least, remember that you never know who will be put in your path. I am coming up on four years with Dish & Decor.  I am truly wanted here, as Janet often says. The best part is the collaboration, which keeps me going with new ideas.  Janet rapid fires her thoughts while I take notes. My opinions and ideas are, as are the rest of teams, included in many aspects of Dish & Decor. We have fun too! Janet has built this biz from the ground up.  I am proud to be a part of this woman owned business. AND we even roped my husband into Dish & Decor! He helped with many of the updating projects in the new warehouse. So, you just never know how things will turn out. Check out the four tied wooden stand below…he made two of these for us!

Here’s the tip…

For a plated meal, some clients use our Elegant Floral dinner plate as the charger for a pretty look on your tables as the guests come in. Then the caterer serves the salad on a salad plate which is placed on top of the dinner plate/charger.  After the salad is eaten, both plates are taken away, and the entree is served on a new dinner plate. So, clients are ordering two dinner plates, which is often more economical than ordering a charger and a dinner plate. We have done this with all of dinnerware collections.

Using Color to Enhance the Wedding Reception Tables

Let’s talk Color Theory!

Your reception tables will definitely not be a carbon copy of anyone else’s. ​
Color theory is nothing new, right? We know that color sends a message and can create a mood. Some hues may relax you, while others may energize you. Maybe you’ve done the color analysis for what to wear. We use the colors we love in our home to create the style and the mood we desire. Color is so personal and relays what is important to you, which is why color plays such a HUGE part in the wedding industry. Color makes a significant statement on your wedding day and will bring your guests the vibe/mood you are wanting to achieve. After all, the day is for you, but your beautiful table style is also a gift for your guests’ enjoyment.

So… let’s break it down.  You can create your wedding reception with a burst of color and patterns. Or you can be subtle and subdued with a more monochromatic table style. Maybe you want your tables colors to contrast with wedding party, or maybe you want everything to perfectly match. Most couples start with the florals.  We say start with us then choose your florals. We will play in our Design Center with you. So many options from which you can play and choose. Linens, plates, glasses, and flatware along with something placed in the center of your tables or around the venue in vignettes or space fillers are all here. Don’t forget the items you will need for appetizers and desserts. We will set your table until it is just right.

We are the “Ladies Who Dish“, and do we have the scoop on wedding tablescapes. Our goal is to always have your tablescapes reflect YOU. You will be the star when your reception compliments you. Dish & Decor doesn’t stand on rules or protocol.  We do the extraordinary one place setting at a time.

Customize and personalize your wedding day.

  • We can start with your favorite color, if you like. If the color you love is not something you might typically see at a wedding, no worries!  We will work that color into your reception tables. Maybe your favorite color compliments or matches the attendants’ dresses. Or if you have a vibe like boho, cottage core, or minimalist modern, we can go from there.
  • ​If you love a specific pattern, object or flower, let’s include it. The whole point of your reception should be a place where guests walk in and feel your presence. The ones who know you and love you will say, “Oh my goodness, this is soooo them!” Or “I know exactly why they chose those colors!” We had a bride who loved sunflowers. Those were incorporated with touches of our amber rentals, and the guests knew this was her.
  • Together we can express your personalities by creating layers of mismatched or patterned plates and colorful glassware, which adds depth, sparkle and interest to the tables AND to your wedding day photographs. Our glassware comes in every color of the rainbow that you have to see to believe.

​Bride, you need to stand out!

Another consideration is the color and the lighting already existing in the venue. If your venue is mostly white, the linens and plates are white, and the glasses are clear, you, the bride, will look like part of the upholstery.  Sorry, but it’s true. No white on white for you. You do not want to be a blended-in bride on your wedding day. You want to contrast with the environment. The best way to achieve this is to pull in a little or a lot of color through the linens, glassware and plates. Check out our collections and photo gallery to see what we mean.

​What to expect at your consultation…

At your consultation, we typically start with the table linens. Brides-to-be’s often want to avoid white table linens. However, they typically start with an ivory tablecloth on their reception tables thinking that is better than white.  We will show you how that color can actually look yellow. Unless you are in love with yellow, we will lay a tan or latte colored table linen on the design table, so you can see the difference. We play with the linen color swatches until you know exactly which color feels right. Then we layer on all types of chargers, plates, glasses and flatware. ​

Please don’t be surprised if what you thought you wanted is not what you end up choosing. Many times, a bride or couple comes in thinking they want one thing, but they end up creating something uniquely special that they had never thought of. That is the beauty of our business. You don’t know what you don’t know until you come in and see all that we have to offer. Or maybe you have a wedding binder ready to show us and know exactly what you envision.  We can make that come true. 

For example, we had a bride recently come in wanting pink, pink, and more pink. Pink is actually very beautiful for a wedding. As the couple looked around our stocked Design Center, her eye was drawn to our navy-blue goblets. I placed those on the table.  Then they spotted our blue and white bread and butter plates.  She felt those would be great for the olive oil since the groom is Italian.  The more they talked, the more they realized that they wanted to embrace the Italian culture and pull in the blues.  The pink idea went by the wayside, and that was ok.  They found their vision. It represented them! And their guests will recognize that! 

There really is no rental company like us.

Your gender reveal room will be the surprise reveal. In other words, decorate the room and tables in the color of the gender. So…if it is a girl, the place settings and tables will overflow with pinkness.  If it’s a boy, everything will be blue. Guests will walk in and instantly know!
